About this service

HoopFile is an independently operated, individual-run embroidery file converter and viewer at hoopfile.com. In this notice, “we” and “us” refer to the individual operating HoopFile. For privacy questions or requests, email contact@hoopfile.com.

Files you choose to upload

Choosing or dropping a file uploads its contents, filename and selected output format over HTTPS to our conversion service hosted on Cloudflare. Viewing a file also requires server processing; this is not an offline or browser-only tool. Changing the output format on the homepage sends the selected file again.

We process this information to read the stitch design, create its preview and statistics, and return the requested output. We do not publish uploaded designs, sell their contents, or use them to train AI models. There is no account system or saved-design library. Upload only files you are entitled to process, and avoid files containing sensitive personal information.

Temporary files and browser memory

The converter removes the temporary input and output files it creates when processing finishes, including when a handled conversion error occurs. The application does not intentionally save uploaded designs in a database or permanent file store, or write their contents or filenames to application logs.

Your selected file, preview and converted download can remain in the open page's browser memory so you can inspect or download the result. Refreshing or closing the page releases the application's references to that data; this is not a promise of immediate secure erasure of all device or provider memory. Your original file and any download you save remain on your device until you delete them.

Conversion-file cleanup is separate from website traffic and security records. We cannot retrieve a previous conversion for you after its temporary files and page data are gone.

Hosting, security and fonts

Cloudflare provides our hosting, network delivery and security infrastructure. It processes request information such as IP addresses, request URLs, browser or system details, timestamps and traffic or security signals to deliver and protect the service. These records are not the same as a stored copy of your embroidery design. Retention depends on the relevant service and its security or operational purposes; this notice does not promise that infrastructure logs are deleted when conversion finishes. The site currently loads fonts from Google Fonts. Your browser contacts Google's font servers, which receive the IP address and request information needed to deliver the fonts. Your embroidery file is not sent to Google Fonts. See Google's font privacy explanation.

Cookies and tracking

The HoopFile application does not use advertising trackers, third-party marketing analytics, or browser storage to build a history of your conversions. Infrastructure providers may use necessary security mechanisms, including cookies when a challenge or protection feature requires them. Those mechanisms are separate from uploaded files. If we add optional tracking, we will update this notice and obtain consent where required before enabling it.

Email and other recipients

If you email us, we receive your email address, message and any attachments you choose to send. Messages to our contact address are forwarded by Cloudflare Email Routing to our mailbox hosted by Tencent QQ Mail. Do not email confidential embroidery files unless needed for your enquiry: email attachments are not covered by the converter's temporary-file deletion process.

We use correspondence to answer requests, provide support and handle disputes. We retain it only as long as reasonably needed for those purposes or applicable legal obligations. You may request deletion; we will explain any lawful reason that prevents us from deleting particular records.

Our hosting, font and email providers may process information outside your country. Where applicable law requires safeguards for international transfers, those requirements apply. We may also disclose information when required by law or necessary to address abuse or protect legal rights; we do not grant ourselves an unrestricted right to share your designs.

Your choices and rights

You can browse without uploading a file. Uploading is necessary for the requested online conversion or preview. Where applicable law requires a legal basis, providing a requested service, legitimate service-security interests, legal obligations or consent may apply depending on the activity and circumstances.

Depending on the law that applies, you may have rights to access, correct, delete or obtain a copy of personal information, restrict or object to processing, withdraw consent where processing relies on it, or complain to a relevant data-protection authority. Contact contact@hoopfile.com to make a request. We may need proportionate information to verify it, but please do not send identity documents or a sensitive file unless specifically needed and discussed with us.

Security and updates

We use HTTPS and limit application file storage to temporary processing. No online service can guarantee absolute security. If these practices change, we will update this page and its date, and provide additional notice where required.
