Terms of Use
Using HoopFile responsibly and understanding the limits of embroidery file conversion.

The service
HoopFile is an independently operated, individual-run service for converting and previewing existing machine-embroidery files. It is currently free and requires no account. These terms describe the conditions of using the service. If you do not agree, do not upload files.
HoopFile does not digitise JPG, PNG or other artwork into embroidery, recreate editable design projects, or promise compatibility with every machine or file version. Individual tools describe their supported formats and relevant limitations.
Your designs and permission to process them
You retain whatever ownership and intellectual-property rights you have in uploaded files. Uploading does not transfer ownership to HoopFile. You give us only the permission needed to process the file and return the preview and requested output, including through our hosting provider.
You must have the rights or authorisation needed to upload, convert and use a design. Converting a purchased file does not expand its licence or grant rights to resell or distribute it. We do not claim permission to publish, sell or train AI models on your uploads.
Check the output before stitching
A successful conversion means the service produced a file, not that every machine will accept it or stitch it safely. Keep an unchanged copy of your original and check the download in compatible embroidery software and against your machine's instructions.
- Thread colours can be mapped, assigned or omitted according to the source and destination formats. Needle selections, changes and trims can behave differently between machines.
- Long movements may be split. Output record or stitch counts can differ from the source statistics shown on the page.
- Hoop comparisons show design dimensions only; they do not check the attached hoop, machine settings, file limits or transfer method.
- The on-screen preview is not a simulation of fabric, tension, pull or the finished embroidery. Test on suitable scrap material before a production run.
Acceptable use
Do not upload unlawful content or files you have no right to process. Do not attempt unauthorised access, submit malicious files, bypass service protections, or send traffic that disrupts availability for others. We may restrict abusive use or temporarily suspend processing to protect the service.
Privacy and availability
Files are uploaded to our server for processing, including when using a viewer. Read the Privacy Policy for temporary-file cleanup, browser memory and infrastructure processing. The service is not a backup facility; save your own original and converted files.
We may change supported features or interrupt availability for maintenance, security or operational reasons. We do not promise uninterrupted access, a response time or continued availability of a particular converter. Material changes to these terms will be reflected on this page; changes apply prospectively.
Limitations and your legal rights
To the extent permitted by applicable law, the free service is provided as available, without a guarantee that every conversion is accurate or suitable for a particular machine, fabric or production job. Check the result before relying on it.
Nothing in these terms excludes or limits liability or consumer rights where doing so is prohibited by applicable law. These terms do not require you to waive statutory rights or accept compulsory arbitration.
Brands and contact
Machine and format names identify compatibility contexts. HoopFile is not affiliated with or endorsed by the manufacturers mentioned on the site; their trademarks remain theirs.
For service questions, privacy requests or rights concerns, email contact@hoopfile.com. Include enough detail to describe the issue, but do not send sensitive files unless necessary.
